For years, we've watched as Grant Management Systems (GMS) have remained largely stagnant, delivering incremental updates but rarely introducing truly transformative functionality. Why is this the case? Perhaps the issue isn't just technological—perhaps it's rooted in how we define these systems in the first place.
The term "Grant Management System" frames the software as a tool for handling grants. That definition is accurate but limiting. Many of today’s GMS platforms are, at their core, digitized versions of the 20-year-old paper-based processes they were designed to replace. They focus on the transactional aspects of grantmaking—applications, approvals, disbursements, and reporting—rather than the strategic impact that funders aim to achieve.
What if, instead, we started thinking of these systems as "Foundation Management Systems" (FMS)? This subtle shift could fundamentally change how vendors approach product development. Instead of focusing primarily on the mechanics of grant distribution, an FMS would emphasize the broader needs of foundations: portfolio impact analysis, strategic grant planning, data-driven decision-making, collaboration tools, and integrations that extend beyond compliance and reporting.
By continuing to call them Grant Management Systems, we reinforce the idea that their primary role is to process grants, rather than to support the full mission and strategy of the foundation. The result? Systems that improve efficiency but rarely introduce new paradigms for philanthropy.
We’ve seen this limitation play out in real-time. When funders ask for new features that support deeper engagement with grantees, automated learning loops, or comprehensive ecosystem insights, GMS vendors often struggle to prioritize these enhancements. Their roadmaps are shaped by the legacy definition of "grant management," which typically doesn't include these broader functions.
If we were to redefine these systems as Foundation Management Systems, what new functionality might we see? A greater focus on:
Strategic Alignment: How does each grant fit into the foundation’s broader mission?
Impact Measurement: Are funds making the intended difference, and how can data be leveraged to improve outcomes?
Collaboration & Transparency: Can grantees, funders, and stakeholders interact more seamlessly?
Ecosystem Integration: Can systems better connect with CRM, data analytics, and financial planning tools?
And now, an even greater opportunity stands before us. As we explore and define how artificial intelligence (AI) will be integrated into traditional GMS, we must be intentional about where AI delivers the most value. Instead of simply automating existing workflows, AI should be deployed to enhance decision-making, identify funding gaps, predict impact outcomes, and improve collaboration across the entire foundation. This is our chance to ensure that AI-driven insights help foundations become more strategic, proactive, and mission-driven.
Expanding the Role of GMS Beyond Grants
Foundations should seize the opportunity to expand the use of their existing GMS beyond just grant administration. Many foundations manage a range of activities—program management, impact assessments, community engagement, and operational projects—that are crucial to their success but are often siloed from grant-related workflows. These functions should be incorporated into the GMS to create a more comprehensive management system where possible.
If current GMS platforms lack flexibility, foundations should integrate them with other systems like CRM for engagement, project management for tracking, and financial software for budgeting. A well-integrated tech stack enhances data use, streamlines operations, and maximizes impact.
The technology exists to support all of these goals, but the industry's framing of the problem is holding us back. If we redefine the problem, we may finally see the wave of innovation that grantmakers have been waiting for.
To help foundations bridge this gap, we developed BridgePoint, an AWS-based middleware solution designed to extend your current GMS by seamlessly integrating it with systems that better support non-grantmaking activities. Whether it's connecting to CRMs, financial tools, or project management platforms, BridgePoint ensures that your foundation operates more efficiently and strategically, making data-driven decisions that amplify your impact.
